Clifton Community Library
Board of Trustees Minutes
July 16, 2019
Present: President Cindy Whitmore, JoAnn Young, Don Lashomb, Nicole Curry, Library Director Susan (Kate) Kosier, Marilyn Zimber, Samantha MacDonald.
Absent: Nancy Russell.
The meeting was called to order at 6:03 pm by President Cindy Whitmore.
Marilyn says that on Sunday, July 14th the Boat Club had a meeting and the subject of the library came up in a few regards. They said that the Boat Club does not want to “pick up the slack” in the library budget; they think the town should give us more money directly. They also wondered what the “confusion or confrontation” was between the library and the Friends. For our part, the trustees do not have the impression that the town gave us less money with the expectation that the Boat Club would give us more, and trustees also feel that differences between the library and the Friends have been mostly smoothed over and this was “old news”. Cindy and Kate will notify the Boat Club that things are fine.
$50 donation from Mike Whalen.
Minutes of the previous meeting were approved: Motion by JoAnn, seconded by Sam.
No Chief Financial Officer’s report this month. Kate has been doing a lot of the financial work herself and questions from Nancy are taking up a lot of her time. We’ll keep Paychex at least through the end of the year and keep Nancy through October and for end-of-year financials and audit. We need to find a new treasurer next month.
Report of the Library Director was accepted.
Construction grant: The town board told Cindy they need a proposal; the top of Dan’s blueprints show costs. We’ll get Karen to talk to write a proposal up and talk to Dan about specifics. It is probably too late to get a state construction grant for libraries this year; we don’t want to rush the process.
Kate and Cindy haven’t had a chance to drive to SeaComm in Potsdam. Don has signed the papers at Community Bank. We may need to alter the Community paperwork yet again if Nancy isn’t going to be doing much for us.
We have two new volunteers for the summer; they will run the movies downstairs while Sandy is in the library.
Kate has made fliers advertising our summer concerts.
Sandy is working out very well. Helena has been having some trouble with the computer system; NCLS is coming in to give her a tutorial.
The Wild Center pass goes out frequently, but the Blue Mountain Lake pass has not gone out at all. Maybe we can advertise it more.
We have had generally low attendance at events for some time now, and no tactic thus far has proven to be a reliable way of increasing attendance. In particular we would like local children to attend more events; maybe we could send out postcards or flyers addressed to local children directly. Going forward we could also make more of an effort to piggyback on other groups and events in the area (Winter Weekend, Lions Club, the Legion).
We will now charge a $25 deposit for anyone (except the Friends) who wants to use the downstairs area. The deposit is to ensure that the room is cleaned at the end of each event.
We need a new permanent sign out front—for the Library and for the Town Clerk, Town Court, and Historian. Kate will get a quote from John Dragun and possibly also a quote from Larry or anyone else who might be able to make a sign for us.
The town board says that USPS will fix the door between the post office and the hall outside the library.
There is a padlock on the door between the community room downstairs and the outside. Though the padlock is not closed, this is still a potential problem. The door is also sometimes difficult to open.
The doors going into the downstairs community room no longer need to be locked because we have new doors on the main front entrance of the building.
The library will become an official drop-off point for American flags. Kate talked to Wayne Allen about this.
Next monthly meeting: Tuesday, August 20, 2019 at 6:00 pm in the Library.
Meeting was adjourned at 7:28 pm. Motion by JoAnn, seconded by Sam.
