Board of Trustees Minutes
February 18, 2020
Present: President Cindy Whitmore, JoAnn Young, Don Lashomb, Library Director Susan (Kate) Kosier, Sandy Griffin.
Absent: Nicole Curry.
The meeting was called to order at 6:05 pm by President Cindy Whitmore.
Don notes that our handbook says material for the monthly meetings should be provided to trustees at least a week beforehand.
The late Hilary Hooper bequeathed us $4,000. We will have the receipt notarized by Marilyn Zimber.
Minutes of the previous meeting were approved: Motion by Don, seconded by JoAnn.
No Financial report this month. We will have two reports next month.
Report of the Library Director was accepted.
Kate has completed her portion of the annual report. Nancy Russell is working on her portion.
Brittany Rixon was approved by the town board and will start training tomorrow as a substitute library aide.
Update on the missing $5,000 check for library directors’ retirement payments: The check was written but was never drawn upon; the money was never taken out of our account. We believe that the town bookkeeper at the time misplaced the check. We therefore still owe the town this money and will write another check. This also helps explain why we had a $7,000 surplus in comparison with last year’s budget.
White-Out weekend went well. Pam Johnson and Mary Hooven volunteered downstairs and George Cherepon cleaned up.
We still need a replacement trustee and will continue advertising and searching.
We will send a thank-you to Hilary Hooper’s lawyer.
Marilyn is concerned about whether we’re purging too many books. Kate purges items when they have not been checked out for three years. We will ask if we can put newly purged books in the back of Karen’s office (the town supervisor’s unused office). Maybe if purged books were separated from the many donated books, this would make it clear that not all of the books downstairs are ones we have purged from the shelves. In total our book collection is not shrinking, and Kate has been buying at least as many books as we have purged.
We will include post-it notes in back of our books for patron reviews.
Cindy went to talk to Yolanda McPhatter at Community Bank, who gave us information on new bank signatories.
In regards to the Community Bank and SeaComm accounts, we have experienced a change in the signers for all of our accounts. Signers will now be:
Susan (Kate) Kosior, library director
Cynthia Whitmore, Board of Trustees president
JoAnn Young, Treasurer
All three individuals will have full power to execute on the accounts.
The question has arisen as to whether we should now have two signers for every check that we write. This was the way things were done previously at the library. The trustees are generally in favor of this, because it is the way many other public institutions handle things, but we will table the matter till next time. It is acknowledged that this would be another layer of bureaucracy that makes things a bit more difficult for Kate.
Sandy and Kate presented a proposal for a traveling movie theater, which could be used for a program dubbed the “Lowell-Hooper Movie Series” (named after the two generous people who recently made large bequeathments to the library). Kate interviewed a variety of community members and asked them how community spirit could be improved, and the idea for an outdoor movie series was developed. Sandy says that we would need to advertise in other places besides the Bargain Hunter (ex. church bulletins) to really get the word out. Two outdoor theater projector models were proposed. Cindy makes motion to buy the $2,000 model; JoAnn seconds. The projector should be put on the library’s insurance. JoAnn questioned how the unit would be transported to various community locations for use, and Sandy said that she and Bill could use their truck for many (not all) of the events.
